LOCK BOX & KEYPAD SITUATION UPDATE
We want members to be aware the MLS has no lock box inventory. We are doing an audit, however, the audit reallocates the boxes from one office to another but does not increase the actual inventory. We have been unable to order additional boxes because the new boxes require a "daily update" and we are still on weekly. The MLS Board of Directors will consider a move to daily update so the new boxes can be incorporated into inventory seamlessly. This will also make it much easier to show homes in St. Joseph County and the Northeastern MLS areas because they are both on daily.
 PARAGON MLS HIGHLIGHTS
- FINDING AND PRINTING ASSOCIATED DOCS
When a search result indicates associated documents are attached go to Views/Reports - Select Specialty Views - Select Associated Docs. A list of docs will appear. Click on the document and it will appear in whatever program the document was saved in. PRINTING - This can be a very tricky process depending how the document was scanned and saved. Click on the associated document link and the MLS system will begin downloading the document and trying to open it. Windows will try to open the document with whatever program is associated with that file type. So if the doc was saved as a Word Document, Windows will bring up Word to display the document. You would select the print option within word to print the document. If the doc was saved as a PDF file, it will open up Adobe Reader and you would have to print the document utilizing Adobe's print option. If the document was saved as GIF, JPG or TIF Windows will try to open the document utilizing whatever is set as the default viewer for these types of images. Many times it is internet Explorer and so you would need to use the IE print options to print the image. Sometimes it is the Microsoft Image Viewer, or it maybe any number of other image related software. All members are able to print any document that has been uploaded for viewing.
The current tax records show the Building Characteristics on page two of the full format. This information was available in the old MLS system but in a different format. However, the Building Characteristic information was incorrectly linked in the new system but has been corrected as of 5/17/05. If anyone finds the information is still incorrect, please call us ASAP. The new tax records have been requested from the county by FNIS and they will begin converting the information as soon as they receive it. We have requested they look into displaying the TIF information with the new records. We will keep you posted on the progression of the task.
- HOW TO SEE YOUR PENDINGS & ALL YOUR INVENTORY
On the Home page select Search and arrow down to Firm Inventory and double click. A search screen will appear and some information will automatically fill in. The search defaults the STATUS field to active only so to see all your inventory either leave the field blank or click the arrow and then select whatever status you want to see. Then select Search and you will see your inventory. You will only be able to see your own inventory not anyone else's.
- I CAN'T SEE MY AGENT NUMBER ON THE FULL REPORT
The full report will not show your agent number if it's your listing or sale. You should be able to see everyone else's agent id number with one exception. If you are an agent, you can only see the MLS Id numbers of other agents and not the Participants. The Participant is able to see all MLS ID numbers. I cannot think of one single reason to set up a MLS like this but that is the way they set this one up. Hopefully, we can see an enhancement to this so all MLS id numbers will show to all members.
- BACK-UP OFFERS ACCEPTED AND FIRST RIGHT OF REFUSAL STATUS
Please note BUPs and FRRS are available when a listing is active only. If you put the listing in Pending you will not be able to select BUP or FRR. The new status change form (available under MLS docs) will show this under the status.
The information available in the Paragon system for listings has been modified to include most all of the fields available in the REX system. This has made a huge difference since the original fields were extremely limited.
Agents are authorized to upload photos and associated docs. However, please set your cameras to take the photos at 640x480 or they will be too large and take too long to upload. Most digital cameras have this setting. I understand Windows XP has free software available called "Power Toy" that allows you to resize and rename your photos.
